Helping at an Event
Everyone’s simple guide to helping at registration in 12 easy steps!
No. 1 – Collect keys for trailer and shed from Sally Duston (2131403/0273548209)
No. 2 – Arrange with Andrea Patterson to collect CASH BOX
Nos. 3 and 4 – Pick up TRAILER from SOUTHLAND POWER BOAT CLUB premises, Sandy Point Road (if you don’t have a tow bar, we can find someone who has)
No. 5 – Put up DIRECTION SIGNS (in trailer) on way to event
No. 6 – Set up tables, chairs, tent (if weather looks dodgy), toilet tent (if no trees around), registration guff. Set up the sportIdent equipment (instructions in lap top case) and HEALTH AND SAFETY/RISK MANAGEMENT info (provided by Planner/Controller on the day)
No. 7 – Wait for customers
No.8 – Take names and entry fees (there is a list of fees on cash box lid and also in bins), issue and record sportIdent stick numbers, get competitors to complete Event Registration Form
No. 9 - FORMS: All these are found in the CASH BOX, along with forms for SUBS, DUTIES OF HELPERS and MEMBERSHIP LIST
YELLOW – for names of competitors, amount paid and details of membership. It is important to get this right as our levies to ONZ are paid, based on these details
WHITE (which looks blue in the photo!) EVENT REGISTRATION FORM. Everyone must complete and add their email (if not already on list) legibly please (so that it can be added to the Events Email list)
GREEN –balance the money at the close of registration
All forms go in cash box which is returned to Sarah
No. 10 – MAKE SURE YOU HAVE A RUN YOURSELF
No. 11 – Reverse all the above (roughly speaking); help collect any controls if needed or if you have time
Hope this helps make things clearer for everyone. We don’t expect anyone new to helping at the start to do everything – there will always be someone to show you the ropes and give you a hand.
